Job Description

What You’ll Do

As a key member of our Property Management team, you’ll be the "right hand" to the Vice President of Property Management.  You'll provide administrative and operational support and coordinate with other members of the Property Management Team as well as our Central Office staff to help ensure that residents of our nearly 2000 affordable and supportive housing units are well served and satisfied. 

You’re the ideal candidate if you’re experienced, organized, reliable and proactive as well as highly self-motivated, professional, and capable of managing your workload and prioritizing tasks in a fast-paced environment.  You’ll exercise independent judgment while managing internal and external communications and a busy calendar.

Some of your responsibilities will include:

  • Managing the flow of communications by email and telephone and scheduling for the VP of Property Management and other members of the Property Management team.

  • Assisting in recruitment and hiring to backfill vacant positions by reviewing resumes, scheduling interviews, communicating with candidates, and interfacing with HR to complete the hiring process.

  • Participating in problem identification, problem solving, and problem resolution with operating properties as well as with support departments at Central Office.

  • Tracking requests for approval for check requests, financial reports, contracts, etc. to ensure timely turnaround and filing

  • Preparing meeting agendas and taking/circulating minutes to attendees to ensure clarity about tasks and timelines.

  • Mastering and using Yardi property management software for accounts payable, rent collection, and leasing to support data collection, analysis, and reporting.

  • Creating and maintaining digital files for all Property Management activities and preparing reports and correspondence using Microsoft Office applications.

What You Bring

  • Strong operations and administrative support experience with progressive responsibility over time.

  • Outstanding computer literacy, particularly with all Microsoft Office applications: Word, Excel, and PowerPoint.

  • Friendly and professional demeanor.

  • Outstanding oral and written communication skills.

  • Strong organizational skills, with ability to multi-task with shifting priorities.

  • Excellent follow-through skills and initiative.

  • Ability to be a team player and interface with all levels throughout the organization.

  • Knowledge of office systems and procedures, including use and troubleshooting of office equipment such as printers, copiers, and fax machines.

  • High School Diploma or equivalent required, with an undergraduate degree preferred.
