What You Will Do

This position’s primary responsibility is a clerical and administrative role. Varied clerical, processing of work orders and documents, communication with vendors and GSI employees and other duties that may be required. This position is located next to or with in the shop area.   Occasional exposure to noise, odors, and fumes may occur. This position reports to Service Manager. Able to follow oral and written instructions.  Ability to remain calm in stressful situations. How You Will Make a Difference

  • Works directly with the maintenance team and the service team. Assists the Service Manager with any requested assignments.
  • Answers/Reads and routes incoming phone calls and mail from all GSI employees and outside vendors for vehicle and/or equipment repair needs.
  • Schedule vehicles into an Enterprise approved repair facility and follow the repair to completion.
  • Dispatch tows or road calls needed in the field.
  • Contact drivers for any recalls or maintenance needs and schedule into a repair facility in a timely matter.
  • Arrange for replacement rentals if needed while vehicles are in the shop.
  • Document long- term and short- term rentals in use and when returned.
  • File for warranty reimbursement with applicable vendors if recall part was replaced and paid for by GSI.
  • Be on call for occasional after hour breakdowns
  • Generate work orders for vendor repairs to GSI equipment
  • Monitors all vehicle/equipment telematics devices, replace/request replacement if necessary and updates the systems
  • Record and log all maintenance documents for long term compliance.
  • Organize, receive, and prepare vehicles for auction.
  • Vehicle/equipment tracking (rental, leased and owned)
  • Vehicle/equipment setup (rental, leased and owned)
  • Work with safety and management team for vehicle and equipment incidents
  • Track DVIR’s for needed repairs noted
  • Maintain trucks in Enterprise maintenance site
  • Coordinate annual equipment/vehicle inspections
  • Outsource equipment and vehicle vinyl needs.
  • Update management when drivers change for a vehicle, so the appropriate changes can be made in B2W, ViewPoint, Samsara and Enterprise systems.
  • Go through equipment checklists received from the field, send the deficient checklists off to schedule field mechanics for repairs. Reconcile remaining checklists, record onto compliance sheet, save each sheet and post into business system for long term compliance.
  • Gather documents to assist in the approval process of credit card receipts and invoices in business system.
  • Researches various records and performs detailed audits of transactions to correct errors and reconcile accounts with computer and/or manual record keeping.
  • Assist with the goals for the Fleet Service Department and help achieve these goals in a timely manner within budget.
  • Maintain positive and professional relationships both internally and externally with vendors.
  • Comply with all company safety policies.
  • Perform duties in accordance with company standard policies and procedures.
  • Schedule service and body shop appointments for all vehicles and trailers
  • Participate in telematics and compliance Team meetings

What You Need to Bring

  • 1 Year experience in the administrative field. 
  • Previous experience in the Fleet Maintenance field required.
  • High School Diploma or General Education Degree (GED) required. Associates Degree preferred
  • Strong computer skills with Microsoft Suite
