Job Summary

The Department of Microbiology and Immunology is seeking a highly experienced Research Administrator to provide pre and post-award support. This role will primarily assist with the post-award duties for a set of research faculty as well as oversee post-award duties for the two training grants in the department. There may also be a need to assist with proposal submissions in high submission periods. The Research Administrator will be part of a supportive, community-oriented team of experienced research administrators providing complex and full range life-cycle research administration services with a focused emphasis on multi-project financial management.

Responsibilities*


Post-award management:

  • Review award information with faculty and project teams to determine reporting requirements and/or billing complexities. Create revised budgets based on the awarded budget, if necessary.
  • Initiate and process subcontracts and oversee invoice payments.
  • Process post-award changes including timely extensions, Uniform Guidance approvals, carry forward requests, and sponsor reporting requests including RPPRs.


Financial management:

  • Set up, monitor, and forecast financials of active projects (project grants and sub-project grants) including managing multiple budget changes, carrying forward requests, and rebudgeting awarded funds for emerging priorities.
  • Tracking faculty and staff effort to minimize retroactive appointment changes, initiate and submit Department Budget Earnings changes and proactively anticipate changes in effort and gaps in funding.
  • Reconcile project grant budgets, review expenditures, investigate and resolve discrepancies. Determine allowability and appropriateness to sponsors' guidelines and complying with Uniform Guidance standards and take corrective action on erroneous charges.
  • Prepare financial analyses and reports of sponsored and non-sponsored spending. Provide complex projections as requested.
  • Monitor and approve subcontract invoicing to ensure subcontracts are spending within the approved budget and time period.
  • Work closely with ORSP and Sponsored Programs, review and complete Financial Status Reports, closing out projects, and other sponsor required financial reporting.
  • Analyze, compare and evaluate various courses of action with authority to make independent decisions within the scope of responsibilities, with little oversight or direction.
  • Initiate and process journal entries as needed, complying with 120-day federal guidelines.

Pre-award management:

  • Work closely with the Faculty to develop, prepare and submit proposals.
  • Develop itemized budgets and guide faculty on appropriate budgetary items to include in proposal submissions ensuring proposal and budget compliance with Federal, University, Medical School, and center-specific rules and regulations.
  • Organize all proposal documentation and submit via the UM Electronic Research Management System (eRPM), Grants.gov, or other Sponsor systems.


Required Qualifications*


Senior level requires a Bachelor's degree and 5-7 years of grant and contract experience or equivalent combination of education and experience.


The intermediate level requires a Bachelor's degree and 2-4 years of grant and contract experience or an equivalent combination of education and experience


Employees in these classifications typically analyze, compare and evaluate various courses of action and have the authority to make independent decisions on matters of significance, free from immediate direction, within the scope of their responsibilities.


Experience with University administration is valuable.

This position may be eligible for remote and/or flexible work opportunities at the discretion of the hiring department. Flexible work agreements are reviewed annually and are subject to change dependent on the business needs of the hiring department, throughout the course of employment.
