Supporting the Sales, Marketing & Membership efforts is a critical role which takes place in a fun and exciting location and is the essence of the Sales Administrative Assistant role at the Margaritaville Lake Resort, Lake Conroe. Your experience and professionalism will positively affect the Resort!

Resort Overview:
The Margaritaville Lake Resort, Lake Conroe offers 335 Lakefront suites, including 32 lakefront, stand-alone cottages, with boat slips exclusively for the cottage guests. In addition, along with a 72,000 square foot, Conference Center, a walk-on, 18-hole resort golf course, a family-friendly, 3-acre lakefront water park with a lazy river and multiple pools, a 13,000 square foot full-service spa, and an extensive health, racquet and fitness center. This resort will also offer an extraordinary culinary experience.

What you will have an opportunity to do:

This position is a about maintaining an efficient, organized office, and supporting a fast-moving resort team with a variety of responsibilities.

ESSENTIAL FUNCTIONS:

  • Daily administrative support of the Sales, Marketing and Membership Teams

  • Coordinate deliveries to the building (FedEx, USPS, Amazon, etc)

  • Assist with new hire set-up

  • Prioritizing day-to-day tasks

  • Process & track bills

  • Administers the budget/forecast process

  • Distributes daily reporting

  • Accepts all sales/catering calls

  • Serves as the “lead-catcher” and distributes leads as needed

  • Assist in delegating tasks for onsite staff, including monitoring schedules and breaks, and administering and submitting staff timesheets

  • Assists in developing orders, contracts and proposals

  • Oversees in establishing and maintaining systems and procedures for ordering, receiving, storing office supplies and client gifts.

  • Helps set up meetings and events for sales, marketing and membership team

  • Helps with development of word, excel and ppt documents and presentations

SALES, MARKETING & MEMBERSHIP REPORTS

  • Prepares and distributes daily, weekly, monthly and quarterly sales and marketing reports to sales staff, directors, owners and the Home Office including:

  • Group rooms bookings pace, bookings pattern summary, sales production, sales manager bookings activity, STAR lead generation, and lost business

  • Owner presentation reports

  • Produces reports for and coordinates resort’s annual Marketing Plan

  • Coordination and formulation of custom reports for various marketing, forecasting and operational purposes

  • Reports as requested by the Director of Sales, Director of Marketing or Membership Director or other departments

  • Maintains folders for and master copies of Pace, Sales Production, STAR Lead reports

OTHER RESPONSIBILITIES

  • Other responsibilities as directed by the Directors of Sales, Marketing and Membership.

What are we looking for?

  • The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities:

  • Knowledge of a hotel structure and how all departments interact.

  • Proficient in Microsoft Excel, Microsoft Word, Microsoft PowerPoint, Microsoft Outlook.

  • Must be able to analyze data and communicate effectively with peers and superiors in a positive manner.

  • Demonstrated relevant experience with Microsoft Office and a general understanding of catering.

  •  A strong work ethic to generate high quality work under tight deadlines.

  • Must have a can-do attitude, be resourceful, and have an approachable yet professional demeanor.

  • College degree preferred or equivalent experience

  • Maintains a calm demeanor in stressful situations

  • Ability to problem solve and demonstrates a sense of urgency to complete tasks

  • Excellent organization and time-management skills

  • Possess leadership skills with strong attention to detail
