Site Administration Support

Your Tasks

  1. Recruitment & Placement
    • Prepares all administrative formalities concerning hiring processes in accordance with applicable local labor law practices.
    • Prepares blue collar employment offers.
    • Enters and maintains personnel data in the Personnel Master Record System (SAP).
    • Conducts new employee orientation and onboarding.
  2. HR Services
    • Provides all necessary information to all stakeholders in case of hirings, transfers, resignations, and updates personnel records accordingly.
    • Prepares verification of employment / certifications as needed based on manager’s input.
    • Provides information and advice to staff concerning regulations regarding compensation and benefits and supports employee enrollments and changes.
    • Processes time sheets ensuring that all are returned complete.
    • Create electronic payroll files and submit for payroll processing.
  3. Application Management
    • Facilitates blue collar application process including recording of the applications and distributes applications to the relevant hiring managers or departments.
    • Tracks the progress of applications and informs candidates of interim decisions.
  4. Finance and Controlling
    • AP / AR Daily
      1.  Review bank account activity and post transactions to the accounting system.
      2.  Receive, process, and post to accounts payable vendor invoices.
      3.  Prepare customer invoices and deposits for live checks.
      4.  Prepare payment for vendor bills and mail payments.
    • Payroll Weekly
      1.  Post payroll and classify to department in accounting software.
    • General Accounting
      1.  Update quarterly royalty payout.
      2.  Reconcile all bank accounts to month end statements.
  5. IT and Materials
    • Establish and maintain inventory of all office supplies.
    • Implements basic IT functions.
  6. EHS
    • Performs administrative EHS duties.
    • Distribute, track, and collect incident investigation forms and records.
    • Conducts and makes first report of injuries.

Your Profile

  • Associate’s degree in Business Administration or equivalent experience.
  • 5+ years of professional experience in administration, bookkeeping, or management.
  • Proficiency in Microsoft Office.
  • SAP
  • Knowledge of labor laws, general benefits, and bookkeeping principles.
  • Knowledge of accounting software.
